The main issue with corporate e-waste programs is not that employees are reluctant to recycle their old laptops and cables because they are not motivated by environmental concerns; they tend to hoard them simply because nobody provided an easy alternative, and nobody informed them about what happens to their data in the process.
Compliance Isn’t Optional, and Most Businesses Don’t Know That
In 2022, the world generated 62 million tonnes of e-waste, but only 22.3% of that waste was collected and processed in an environmentally and socially proper manner (United Nations Global E-waste Monitor 2024). The commercial sector makes up a significant portion of that 77.7% gap, and regulators in many jurisdictions are sitting up and taking notice.
It’s no use coming up with a great plan to recycle old office electronics if nobody knows the plan exists and employees continue to dispose of the electronics in landfill or standard recycling streams. Education and communication are key, but unfortunately, too many businesses rely on abstract sustainability goals as the hook to get staff to care about where they throw old keyboards.
The problem is that old keyboards contain lead, mercury, and cadmium. This is not in the same “can’t eat too many avocados because they’re high in fat” level of abstraction but more in the “this will seep into groundwater and bioaccumulate in fish which we will then eat, giving ourselves toxic heavy metal poisoning” level of concrete cause and effect. This is where you connect the front-end of your program to the back-end. This is the friction most program designers overlook. Managers and employees often hang on to old hard drives and company laptops not because they’re lazy but because they’re nervous. What happens to the data on that machine? Who handles it, and how?
A good program answers this before anyone has to ask. Publish a clear, written process explaining exactly how devices are handled after collection: who takes custody, what data destruction method is used, and what documentation is issued. A Certificate of Destruction, a formal document confirming that digital media has been securely wiped or physically shredded, gives employees and compliance teams something tangible to point to.
Chain of custody documentation matters here too. When people know that every device is tracked from collection point to final processing, the anxiety around sensitive company data drops significantly.
An Amnesty Week Can Break the Logjam
Many workspaces are quietly accumulating e-waste in the form of old gadgets and obsolete tech equipment stashed in drawers and cupboards. People have good intentions to do something about it, but the nature of e-waste is that it’s easier to put off dealing with it until later.
Running an “E-Waste Amnesty Week” is a simple, low-cost way to remove old tech from your organization and encourage more recycling at the same time. You set aside a specific period, say five working days, and ask departments to gather all their old tech, ready for collection at the end of that week.
You then make a small competition out of it: the team that contributes the most by volume gets a small prize, like a team lunch or an afternoon off. The first year you run this, you’ll be amazed by the amount of old tech that you find around the business. Run it again the following year, and people start to get into the habit of recycling their old equipment annually.
Build the Reporting Loop Into the Program
